When our event-readiness feature is enabled, we send a limited text excerpt and extracted event fields to JevModel.org or TypeSafe AI to assess whether details need review. We do not send the original image, account credentials, email address, user identifier, unrelated image text, or existing calendar contents to these providers.

Introduction

This Privacy Policy explains how Image2Cal ("we", "our", "us") collects, uses, and discloses your information when you use our services, including when you upload images to generate calendar invites.

Information We Collect

Personal Information

We collect the account information needed to provide the service, the images or files you upload, and the calendar event details we extract or that you create or edit in Image2Cal. Event details can include titles, dates, times, locations, descriptions, and related calendar metadata.

Optional Return Survey

Our public feedback survey asks why you stopped using Image2Cal and what would help you return. We store the reason and any comments you choose to write without an account identifier or email address. Please do not include personal or sensitive information in free-text answers. We use the responses to improve the product.

Calendar Events and Semantic Search

For new or changed saved calendar events, we create a semantic search representation to help the in-app assistant find events by meaning. To do this, we send the event's title, date, time, location, and description to our AI service providers, including OpenAI and, where configured, Vercel AI Gateway. We store the resulting numerical embedding together with the event text in our database. We use this information only to provide event search and related calendar-assistant features; it is not used to advertise to you or sold to third parties.

We do not automatically re-process historical calendars solely to create embeddings. A new embedding is created when you save a new calendar or change its events. Deleting a calendar removes its associated embedding records from our database.

Automated Checks on Calendar Results

To check extracted events for likely errors and duplicates, to route assistant requests, and to categorise feedback, we may send event titles, dates, times and locations, and the text of messages or feedback you write, to TypeSafe AI, a decision-model provider. This information is used only to provide those features; it is not used to advertise to you or sold to third parties.

Google API Data Use Disclosure

Image2Cal's use of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements. This includes data from Google Calendar API and Google Workspace APIs.

We comply with the Limited Use requirements for Workspace APIs and ensure that your Google data is only used to provide and improve our calendar generation services.

The use of raw or derived user data received from Workspace APIs will adhere to the Google User Data Policy, including the Limited Use requirements.

Usage Data

We collect the following information for the purpose of rate limiting and improving the app's performance:

• IP address
• Device information
• Browser type
• Pages visited

We use Statsig for product analytics and feature rollouts. When you are signed in, we share your account identifier, email address and plan with Statsig so that features can be rolled out to specific accounts and usage can be attributed to them. Statsig also receives the pages viewed and interactions within the app, and session replays that record how the app was used.

Authentication

We require authentication to use our service. By authenticating, we link your personal information to the calendar generations you request through the app.

How We Use Your Information

We use your information to:

• Generate calendar invites based on the images you upload
• Store and search the calendar events you save in Image2Cal
• Provide semantic event search and calendar-assistant features
• Provide customer support and respond to inquiries
• Implement rate limiting to ensure fair use of the service
• Measure the accuracy of event extraction by periodically re-processing a small random sample of uploaded images with our AI service providers. Only aggregate scores are kept.
• Communicate with you about updates and changes to the service

Data Retention

We will retain your uploaded images for as long as necessary to fulfill the purposes outlined in this policy. We retain saved calendar events and their semantic-search records while they are needed to provide your account's calendar features. When you delete a saved calendar, its associated embedding records are deleted from our database. Service providers may retain data under their own terms and retention practices.

Data Sharing and Disclosure

We do not sell, trade, or rent your personal information to third parties. However, we may share your data with:

• Service providers who assist in operating the app, including cloud storage, database, authentication, AI, and observability providers
• Legal authorities if required by law

Security

We take reasonable measures to protect your data, including encryption during data transmission and secure storage. However, no method of transmission or storage is completely secure.

Your Rights

You have the right to:

• Access, update, or delete your personal information
• Opt-out of marketing communications
• Withdraw consent at any time (if applicable)

Changes to This Privacy Policy

We may update this policy periodically. Changes will be posted with an updated effective date. We encourage you to review the policy regularly.
